It is often said that businesses that do not have systems to help with companies' operations will find it difficult to create intrinsic business value, let alone scale. Creating systems that run a business without the entrepreneur is essential for sustainable growth and success. It frees up the entrepreneur's time to focus on strategic initiatives, innovation, and growth. In this article, we'll discuss five critical systems that are for any business to run smoothly and effectively. These systems include a sales content system, launch planning and execution system, scalable client onboarding system, SOP bank, and hiring and training system.

These systems that are highlighted are essentially part of the different operations that are needed in a business. From client acquisition to operations, and human capital management.

Sales Content System

A sales content system remains a critical component of any successful business. It helps generate leads and converts them into clients across channels. A sales content system is a repeatable process that you can use to create and distribute valuable content to attract and retain customers. It includes creating a content calendar, identifying the target audience, creating content that resonates with the audience, and distributing the content through various channels such as social media, email marketing, and blog posts with the aim to attract, nurture, and eventually convert prospects into clients, with minimal human intervention. This system aims to help businesses build brand awareness, affinity, and eventually, brand equity in the market which thus ensures that the market rallies behind a brand, and whether the most cost-effective option appears in the market, a brand’s advocates still choose to support it. A great example would be my own relationship with Calendly, the Calendar Scheduler. Even though, I have often found much more cost-efficient alternatives through unprovoked ads, the only reason I still support the brand has simply been that the Founder, Tope Awotona,  is African. And it makes me proud to be an active player in another African child's dream. This is the power of Brand equity.

Launch Planning and Execution System

A launch planning and execution system is a go-to-market system that allows you to always feel ahead and clearly project income into the future as it allows a business or an entrepreneur to create a detailed launch plan that outlines all the necessary steps from idea generation to launch day. A launch planning and execution system includes planning, executing, and measuring the success of product launches. It involves setting goals, defining the target audience, creating a launch plan, and executing the plan with precision.

The first step in creating a launch planning and execution system is to define your target audience and their pain points. This information will help you create a product or service that addresses their needs and meets their expectations. Next, you need to identify your unique selling proposition (USP) that differentiates your product or service from competitors.

Once you have identified your USP, you can create a launch plan that includes a timeline, budget, and marketing strategy. The timeline should include all the necessary steps such as product development, testing, production, and launch. The budget should include all the necessary expenses such as research, development, marketing, and launch. The marketing strategy should include a combination of channels such as social media, email marketing, paid advertising, and more.

By creating a launch planning and execution system, you can ensure that you are always ahead of the curve and that your launches are successful.

Scalable Client Onboarding System

This system involves creating a standardized onboarding process that is repeatable and scalable, regardless of the number of clients you onboard. A scalable client onboarding system is a system that allows you to sustain influxes of clients at a time without compromising client delivery. A scalable client onboarding system will entail creating a process that ensures new clients are onboarded effectively, efficiently, and seamlessly. It includes creating a client onboarding checklist, automating parts of the process, and assigning team members to specific tasks. A scalable client onboarding system helps you manage client influxes while maintaining the quality of service you provide.

The first step in creating a scalable client onboarding system is to identify the essential steps in the onboarding process. This may include setting up client accounts, collecting necessary information, and scheduling appointments. Once you have identified the necessary steps, you can create a process flowchart that outlines the sequence of events.

Next, you need to create a set of standard operating procedures (SOPs) that detail each step in the process. These SOPs should be easily accessible to everyone involved in the onboarding process and should include relevant templates and tools.

SOP Bank

An SOP bank is a collection of standard operating procedures (SOPs) that document every aspect of your business. It is an essential operating system that allows you to keep track of every process, procedure, and protocol in your business.  This system is essential for streamlining your business operations and improving efficiency.

The first step in creating an SOP bank is to identify all the necessary SOPs and other business-related documents. This may include employee handbooks, training manuals, checklists, and more. Once you have identified the necessary documents, you need to create a centralized location where they can be accessed by everyone involved in your business.

SOP banks include creating and documenting every process in your business, from how to answer the phone to how to process invoices. It allows you to ensure consistency in your business operations and helps you train new employees effectively.

Hiring and Training System

A hiring and training system is a system that allows you to attract, hire, and train new employees effectively. The hiring and training system is the foundation of any successful business. This system should outline the hiring process, from sourcing candidates to onboarding new hires. It should also include training materials that help new hires get up to speed quickly and effectively. This system ensures that new employees understand the company's culture and values and are equipped with the necessary skills to perform their job duties.

A hiring and training system will include creating a job description, posting the job on various channels, interviewing candidates, onboarding new employees, and providing ongoing training. It allows you to attract top talent, onboard new employees quickly, and ensure that your team is always up-to-date with the latest skills and knowledge.

Conclusion

When creating these systems, it is essential to keep in mind the importance of scalability. As your business grows, you'll need to be able to handle more customers, employees, and workloads. Therefore, your systems must be able to adapt to the changing needs of your business.

Creating systems that run a business without the entrepreneur is essential for sustainable growth and success, but also to avoid burnout as is often the case. Also, it gives many CEOs the much-necessary peace of mind that operations are running as they would like them to, as they have set the foundations. As Vusi Thembekwayo popularly said in an interview on MYD Startup on 99FM, if you can’t take 90 days off from your business, you are not an entrepreneur, you are self-employed. And the only way to ensure that doesn’t become the case is to create these operating systems within your business.

The five systems discussed in this article, including a sales content system, launch planning and execution system, scalable client onboarding system, SOP bank, and hiring and training system, are critical components of any successful business. By implementing these systems, you can free up your time, focus on strategic initiatives, and ensure that your business runs smoothly and effectively.
